Who we are

Solutions Toolbox is the name under which 9572-8093 Québec inc. (Zen Solutions), NEQ 1182403312, in Laval (Québec), offers its services to tradespeople (“we”). This policy explains what personal information we collect on this site, through our forms and through our AI agent, why, and what your rights are.

If you become a customer, the handling of your own customers’ information is governed by the service contract, in addition to this policy.

Person in charge of the protection of personal information

Mathieu Payment, owner, is the person in charge of the protection of personal information. Write to him at privacy@zen-solutions.net with any question, request or complaint.

What we collect

• What you give us in our forms: your name, your business, your trade, your phone number, your e-mail and, for the demo, your business’s website address.
• Your conversations with the AI agent, on the phone and in the browser: the call is transcribed into text; we do not keep the audio recording. Written messages are kept.
• For the 2-minute demo: the text of the public pages of the website you give us, to prepare the agent.
• Site traffic: we count visits and clicks on our buttons in aggregate, with no cookie and without keeping your IP address. These numbers cannot tell who you are.

Why we use it

• Answering your requests: the demo, the trial, the consultation.
• Contacting you about them, and sending you the confirmations and reminders of your appointments.
• Preparing and setting up your agent during the trial.
• Improving our services and the quality of the agent’s answers.
• Meeting our legal obligations.

We do not sell your information and do not use it for other companies’ advertising.

Your consent

You give us your consent by checking the box on a form, or by calling us. You can withdraw it at any time: reply STOP to a text, or write to info@zen-solutions.net. The confirmations and reminders of an appointment you booked are sent to you as long as that appointment is scheduled; after a STOP, they no longer reach you by text.

The AI agent

The agent that answers at 450 367-9330 and on this site is an artificial intelligence. Its answers come from the information we gave it. It makes no decision about you: a person on our team follows up on every request.

Who has access

The people on our team who follow up on your request, and our service providers: hosting and the database, telephony and texts, AI processing (the answers, the voice and the transcription), e-mail and, for our customers, payment. Each provider receives only what its part of the service needs, is bound by a written agreement and may not use your information for any other purpose.

Where your information is

Some of our providers are outside Québec, mainly in the United States: your information may be stored or processed there. Before communicating it to them, we assess the privacy factors set out in Québec’s Act respecting the protection of personal information in the private sector (Law 25), and each provider commits in writing to protect it.

How long we keep it

As long as needed for the purposes for which it was collected, then we destroy it or make it anonymous, subject to the retention periods the law imposes on us. For the 2-minute demo, what the agent learned about your business is deleted after 7 days, unless you start the trial.

How we protect it

Encrypted connections, access limited to the people who need it, encrypted backups. Our Security page gives the details.

Your rights

You can ask to access your information, to have it corrected or deleted, to receive a copy in a common format, or withdraw your consent. Write to privacy@zen-solutions.net: we answer within 30 days. If you are not satisfied with our answer, you can turn to the Commission d’accès à l’information du Québec.

Confidentiality incidents

We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we promptly notify the Commission d’accès à l’information and the people concerned, and we take steps to reduce the risk.

Cookies

This site sets no advertising or audience-measurement cookie. If we ever add one, it will load only after you agree, and refusing will be as easy as accepting.

Children under 14

Our services are meant for businesses. We do not knowingly collect information about people under 14.

We may update this policy; the date above shows the latest version.
